Automated Email Alerts Coming in Beacon Version 4.0.3.X

Staying on top of what's happening across your sites is about to get a whole lot easier. Version 4.0.3.X introduces Automated Email Alerts, a new feature that keeps you informed without you having to go looking for the information.

Whether you're managing a single site or an entire network, Beacon can now send you real-time and scheduled email alerts based on the things that matter most to your business.

Back Office Alerts

These alerts are available at the Back Office level and are designed to flag issues as they happen:

  • Low Tank Level - Receive an alert when a tank's fuel volume drops below a configured percentage of its capacity. Please note this feature requires virtual tank dips to be active through your POS.

  • Under Cost - Get notified when wetstock fuel is sold below its average cost. To avoid inbox overload, this is limited to one email per grade per hour.

  • Drive Offs - Receive a daily summary email when drive-offs meet or exceed a configured count or dollar threshold.

  • Price Change - Get an alert whenever wetstock fuel prices are updated.

Head Office Alerts

For operators managing multiple sites, these alerts are available at the Head Office level:

  • Daily Fuel Export - A daily fuel sales summary delivered as a CSV at a preset time each day, covering wetstock litres and total volume per grade per site. You can also configure this to export hourly.

  • Site Health - Get notified if a branch fails to communicate with Head Office within the expected timeframe, or if pending inbound MCDs exceed your configured threshold.

  • Tank Dip Drop - A daily summary email listing tank dips at each site along with any deliveries received. This feature requires virtual tanks to be active through your POS.

  • No Shift Rec - Receive an alert when a branch site has not completed a shift reconciliation within the expected timeframe.

Instead of logging in to check, you'll be notified. Automated Email Alerts put the right information in front of the right people, helping you catch issues early, stay compliant, and keep operations running smoothly.
